Moloni integration

Every sale paid in another system becomes a Moloni invoice, in the right series and with the customer matched by NIF.

Overview

Moloni

Moloni is one of the most widely used online invoicing tools among small businesses in Portugal. As certified software it is Moloni, not the integration, that numbers each document, signs it and reports it to the Portuguese tax authority (AT) according to the account settings.

Tejobit wires Moloni to wherever the sale actually happens: an online store, a booking platform or a payment gateway. Once a payment is confirmed, the connection finds the customer by tax number (NIF) or creates them, maps the items to the right VAT rate and inserts the document through Moloni's OAuth-protected API.

When a document gets closed is a setup decision. It can land as a draft for someone to review, or be closed immediately. Closed documents cannot be edited or deleted, so corrections always go through a credit note, as Portuguese rules require.

Use cases

What it is for

  • An online shop issuing an invoice-receipt the moment an order is paid.
  • A short-term rental (alojamento local) invoicing each stay on check-out day.
  • A gym or studio billing monthly memberships charged by card or direct debit.
  • A services firm turning accepted CRM proposals into invoices with a due date.
  • Invoices carrying a Multibanco reference generated by Moloni itself, for clients who pay through their bank app.
IN

What the connection listens to

  • An order marked as paid in the online store.
  • A gateway callback confirming payment by Multibanco, MB WAY or card.
  • A completed booking or check-out in the reservations platform.
  • A scheduled sweep for sales that still have no invoice, to catch occasional failures.
OUT

What the connection does

  • Looks up the customer by NIF and creates them if missing, with address and email.
  • Creates or matches products and services with the correct VAT rate or exemption reason.
  • Inserts an invoice, invoice-receipt or simplified invoice in the chosen series, as draft or closed.
  • Emails the PDF to the customer and writes the document number back to the source system.
  • Issues a credit note when an order is refunded or returned.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Moloni account on a plan that includes API access.
  • Document series set up in Moloni for each kind of sale.
  • The VAT rates and exemption reasons that apply to your products or services.
  • A decision on when documents close: on payment, on shipping or after review.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • API access depends on the Moloni plan; not every plan includes it.
  • Closed documents cannot be edited or deleted; fixing one means issuing a credit note.
  • Moloni does not push events to the connection, so anything read back from Moloni is fetched on a schedule.
  • The integration never replaces Moloni: numbering, signing and AT reporting remain Moloni's job.

Frequently asked questions

Before you start

Does the integration report invoices to the AT?

No. Moloni, as certified software, handles reporting to the AT under the account settings. The connection only hands Moloni the data for each sale.

What if the customer gives no tax number?

The document is issued to a final consumer. The rule is agreed at setup, for example using simplified invoices for consumer sales within the legal limits.

Can invoices be reviewed before they are issued?

Yes. Documents can be left as drafts and closed by someone in Moloni. At higher volumes it is usually better to close them straight away and handle exceptions with credit notes.

I already use the Moloni plugin for WooCommerce. Do I need this?

Not if the plugin covers your case. A custom connection pays off when sales come from systems with no plugin, such as booking tools, CRMs or gateways, or when series and VAT rules are specific.

Set up the Moloni integration?
