InvoiceXpress integration

Invoices, receipts and credit notes created in InvoiceXpress from payments, subscriptions or orders, in the right sequence.

Overview

InvoiceXpress

InvoiceXpress is certified Portuguese online invoicing software, popular with service firms, agencies and subscription businesses. Its REST API speaks JSON, each account lives on its own subdomain, and requests are authenticated with an API key tied to a user of that account.

Documents move through states. The connection creates an invoice and then changes its state to finalised, which is when InvoiceXpress gives it a number in the chosen sequence. From there it can register the payment, which produces the receipt, and email the document to the customer.

Tejobit encodes the rules that usually live in someone's head: which sequence each kind of client gets, when a subscription is invoiced, what happens on a refund. InvoiceXpress still issues the documents and reports them to the AT using the communication mode set on the account.

Use cases

What it is for

  • A software company invoicing every renewal paid through Stripe.
  • A marketing agency billing monthly retainers recorded in the CRM.
  • A language or training school invoicing each enrolment and issuing receipts as instalments arrive.
  • A B2B web shop turning approved orders into invoices due in 30 days.
  • A monthly SAF-T billing export sent automatically to the accountant.
IN

What the connection listens to

  • Stripe events such as invoice.paid or checkout.session.completed.
  • A deal marked as won in the CRM.
  • An approved order in the online store.
  • A fixed day of the month, for retainers and the SAF-T export.
OUT

What the connection does

  • Finds the client by code or name and creates them if needed.
  • Creates the invoice, invoice-receipt or simplified invoice and moves it to finalised.
  • Registers the payment against the invoice, which generates the receipt.
  • Emails the document and writes its number and link back to the source system.
  • Requests the month's SAF-T export and waits until the file is ready.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • An InvoiceXpress account with API access, its account name and an API key.
  • Sequences created and registered for the documents to be issued.
  • Items and taxes configured, or a rule for creating them on first sale.
  • An AT communication mode chosen on the account (automatic or manual).

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • The API allows 780 requests per minute per account; beyond that it returns 429 and the connection retries later.
  • The API key belongs to a user: if that user leaves the account or the key is regenerated, the connection must be updated.
  • InvoiceXpress does not push events, so changes made inside InvoiceXpress are read by polling.

Frequently asked questions

Before you start

Is an invoice created through the API issued immediately?

Only once it is finalised. Until then it is an unnumbered draft. Invoices can be finalised straight away or left for review.

Can Stripe subscriptions be invoiced with Portuguese VAT?

Yes. The connection reads customer and payment data from Stripe and applies the VAT rate set for the service and the customer's country, following rules agreed with your accountant.

Does this replace submitting the SAF-T?

No. It can produce the monthly file automatically and deliver it to whoever submits it, but submission remains with the company or its accountant unless reporting already happens another way.
