KeyInvoice integration

Orders and customers from other systems flow into KeyInvoice, which issues the documents, with items and stock kept aligned.

Overview

KeyInvoice

KeyInvoice is certified Portuguese online invoicing software used by small and mid-sized businesses, wholesalers and shops that also sell online. Beyond invoices it handles customer orders, stocked items and per-customer payment terms.

It has its own API, switched on with a key generated in the licence settings under the API KEYINVOICE tab. The technical documentation lives inside the account, so Tejobit always starts by validating the connection on a demo account or on the client's own licence.

The connection takes over the repetitive work between systems: creating customers with the right terms, making sure each item exists under the same reference, and recording the order or sales document. KeyInvoice issues, numbers and reports documents to the AT; the integration only feeds it.

Use cases

What it is for

  • A wholesaler taking reseller orders in a B2B portal and creating them as customer orders in KeyInvoice.
  • A web shop selling items in several sizes and colours, with KeyInvoice stock shown on the site.
  • A company selling product bundles where each component must leave stock.
  • A sales team closing deals in the CRM and wanting the invoice out without going through the office.
IN

What the connection listens to

  • A new order in the web shop or B2B portal.
  • An order paid or approved by the account manager.
  • A scheduled check of KeyInvoice items and stock levels.
  • A new customer registered in the store or CRM.
OUT

What the connection does

  • Creates or updates the customer with tax number, address and payment terms.
  • Creates missing items using the store reference as the key.
  • Records the customer order or issues the agreed sales document.
  • Updates web shop stock from KeyInvoice quantities.
  • Returns the issued document number to the source system.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A KeyInvoice licence with an API key generated in the settings.
  • Matching item references in both systems, or a mapping list.
  • The document types and series the integration should use per channel.
  • Which warehouse or store maps to each sales channel.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • KeyInvoice API documentation is only available inside the account, so technical details are confirmed at project start.
  • An API key belongs to one licence; businesses with several licences or warehouses need each one configured.
  • KeyInvoice does not push events, so stock and documents created there are read by polling, a few minutes behind.

Frequently asked questions

Before you start

KeyInvoice already has web shop plugins. Why a custom integration?

Plugins handle the common case. A custom connection makes sense for B2B portals, CRMs, multiple stores or document rules the plugins do not cover.

Does Tejobit issue the invoices?

No. KeyInvoice, the certified software, issues them. The connection only sends it the data.

Is stock synced in real time?

Close to it. The connection reads KeyInvoice stock at short intervals tuned to your sales volume and updates the store right after.
