Guesty integration

Large portfolios on Guesty: reservations invoiced in InvoiceXpress and operational alerts posted to Slack.

Overview

Guesty

Guesty is a short-term rental PMS used by managers with large portfolios and teams split by role: reservations, operations, finance and guest support. It includes a channel manager, direct booking engine, message automation, task management and owner accounting.

Tejobit connects Guesty to invoicing and to the team's internal channels. The Guesty Open API sends webhooks for new and updated reservations; because the payload is partial, the connection fetches the rest from the API (guest, amounts, fees, channel) and creates the document in InvoiceXpress, which issues it and reports it to the Portuguese tax authority. Meanwhile it posts what operations needs to know in Slack.

Use cases

What it is for

  • A manager with more than 100 units across Lisbon and Porto that needs every reservation invoiced without a dedicated person.
  • A finance team matching channel payouts to issued invoices, with the reservation ID on both sides.
  • An operations channel in Slack receiving last-minute bookings and early check-in requests.
  • A manager working with owners on different contracts, using a document series per contract type.
  • A company tracking time from booking to invoice and wanting it under a minute.
IN

What the connection listens to

  • Guesty Open API webhooks for new and updated reservations.
  • Status changes (confirmed, cancelled) and amount changes on a reservation.
  • Reconciliation checks to catch events that were not delivered.
OUT

What the connection does

  • Fills in reservation details through the API and creates the InvoiceXpress document.
  • Chooses series and document type by listing and channel.
  • Posts Slack alerts with rules by listing, channel or lead time.
  • Saves the document number to a custom field on the Guesty reservation.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Guesty account with Open API access and OAuth client credentials from the dashboard.
  • A map linking Guesty listings, owners and InvoiceXpress series.
  • Slack channels assigned to each alert type.
  • Invoicing rules for cancellations, date changes and long stays.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • The Guesty Open API has account-wide limits per second, minute and hour; the connection paces its own requests.
  • Webhook payloads are partial, so each event triggers extra API calls.
  • Webhook delivery can drop events at peak volume; periodic reconciliation keeps reservations from going uninvoiced.

Frequently asked questions

Before you start

Does it use up the API quota other tools rely on?

The Guesty quota is shared across the account. The connection throttles itself and batches calls so the channel manager and other integrations are not starved.

Can Guesty owner accounting stay as it is?

Yes. The connection handles the tax document in InvoiceXpress; owner statements remain in Guesty.

What if a reservation changes after invoicing?

The change is detected and flagged in Slack. The fix is a credit note plus a new document, since issued documents cannot be edited.
