Hostaway integration

Short-term rental managers on Hostaway: reservations invoiced per owner and field staff alerted on WhatsApp.

Overview

Hostaway

Hostaway is a PMS for short-term rental managers with dozens or hundreds of units. It combines a channel manager, multi-property calendar, unified inbox, cleaning tasks and owner statements.

For a manager operating in Portugal, every reservation has consequences outside Hostaway: an invoice, often in the owner's or the manager's name depending on the contract, a clean to schedule and a check-in to prepare. Tejobit wires those together. Hostaway webhooks fire when a reservation is created or updated, and the connection creates the Moloni document in the right series and sends a WhatsApp message to whoever looks after the unit.

The certified invoicing software always issues the document and reports it to the tax authority; the connection only feeds it correct data.

Use cases

What it is for

  • A Lisbon manager with 40 flats invoicing stays in separate series per owner.
  • An Algarve management company alerting its cleaners on WhatsApp whenever a same-day reservation comes in.
  • A manager moving from Guesty to Hostaway who wants to keep the same invoicing flow.
  • A finance lead reconciling platform payouts against per-reservation documents.
  • A check-in team receiving guest name, arrival time and door code on WhatsApp.
IN

What the connection listens to

  • Hostaway unified webhooks for reservation created and reservation updated.
  • New guest messages that should raise an alert outside Hostaway.
  • Scheduled checks to reconcile reservations whose webhook delivery may have failed.
OUT

What the connection does

  • Creates the Moloni document in the series tied to the property or owner.
  • Sends WhatsApp messages to cleaning and check-in teams with reservation details.
  • Marks the reservation as invoiced in Hostaway using custom fields.
  • Flags cancellations and price changes on reservations already invoiced.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Hostaway account ID and an API key generated in the dashboard.
  • A property list with each unit's owner and invoice series.
  • WhatsApp numbers for field teams and approved message templates.
  • Moloni access with the series needed.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • The Hostaway API limits requests per time window, so syncs across many listings are spread out.
  • Hostaway only retries a failed webhook delivery a few times; periodic reconciliation covers the gaps.
  • WhatsApp messages outside the conversation window need templates approved by Meta.

Frequently asked questions

Before you start

Can each owner be invoiced separately?

That depends on how the business is set up. The connection supports one series per owner or several billing accounts, following the contract model.

Which Hostaway webhooks does it use?

Hostaway unified webhooks, set up in the account and pointed at the service Tejobit hosts.

Do cleaners need a Hostaway login?

No. They get what matters on WhatsApp, including last-minute changes.
