Messaging
WhatsApp integration
Notices, invoices and receipts sent over WhatsApp, plus a bot that creates documents in your invoicing software from a chat.
Overview
For many customers, WhatsApp is the one channel they actually read. A holiday rental sends check-in instructions, a garage says the car is ready, a clinic reminds a patient about tomorrow. Done by hand from one phone, it does not scale and depends on one person.
Tejobit connects the WhatsApp Business Platform (Meta's Cloud API) to the company's systems. The connection sends approved template messages when something happens, attaches the invoice or receipt PDF, and receives replies and delivery statuses through webhooks. For people who invoice on the move, a simple bot takes a text request (customer, tax ID, amount), confirms the details and creates the document in the connected invoicing software, which is what actually issues it.
Know the cost model upfront: since July 2025 Meta charges per delivered template message, with different rates for marketing, utility and authentication, while replies inside the 24-hour window after the customer's last message are not charged.
Use cases
What it is for
- A holiday rental that sends check-in details and the stay receipt after each booking.
- A repair shop that says the job is done and sends the invoice PDF.
- A field technician who creates the invoice by messaging the bot when the job is finished.
- A clinic, gym or salon that sends appointment reminders and takes confirmations by reply.
- An online shop that sends order status and the tracking number.
What the connection listens to
- Events in other systems: invoice issued, booking confirmed, order shipped, appointment tomorrow.
- Cloud API webhooks for incoming messages, including button replies.
- Status webhooks (sent, delivered, read, failed) for every outgoing message.
What the connection does
- Send approved template messages with variables such as name, date or amount.
- Attach PDF documents such as invoices and receipts, or images.
- Reply inside the conversation window with free text or quick-reply buttons.
- Create documents in invoicing software from requests confirmed in the chat, and return the PDF.
- Record opt-outs and failed deliveries so nobody gets chased twice.
How it works
From the request to a working connection
- 01
Request
The form names the integration, the tools involved and what should happen in each case.
- 02
Review and proposal
Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.
- 03
Setup and testing
The connection is set up with the business's own accounts and tested with real cases before it goes live.
- 04
Maintenance and monitoring
Tejobit hosts the connection, follows up on errors and adapts it when the API changes.
The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.
What to prepare
- A WhatsApp Business account with Meta, with the business verified in Meta Business Manager when volume calls for it.
- A phone number dedicated to the API, or confirmation that your current number can be migrated or used in coexistence with the WhatsApp Business app.
- The wording of the template messages, for submission and approval by Meta.
- Customer consent to receive WhatsApp messages, collected at booking or checkout.
- For the invoicing bot, the list of phone numbers allowed to create documents.
For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.
Limits
- Business-initiated messages must use Meta-approved templates; approval takes time and promotional content labelled as utility gets reclassified.
- Template messages are charged per message by Meta, by country and category, billed by Meta directly and not part of the monthly fee.
- New accounts start with a daily cap on business-initiated recipients, which rises with quality and volume.
- The bot creates documents from what it is told; tax IDs and amounts are validated, but the final confirmation before issuing always comes from a person.
Frequently asked questions
Before you start
Can I keep using WhatsApp on my phone?
It depends on the number. A new number dedicated to the API is the simplest route. Meta does allow the same number on the WhatsApp Business app and the API in some cases, with limitations that are checked during setup.
How much does each message cost?
Pricing is set by Meta and varies by category (marketing, utility, authentication) and recipient country. Utility templates inside the 24-hour window and replies to customers are free. Tejobit helps pick the right categories so you do not pay more than needed.
Is it safe to send invoices over WhatsApp?
Messages are encrypted in transit and the PDF is the same one you would email. For documents with sensitive data, the message can carry a short-lived link instead of the file.
Does the bot issue invoices on its own?
The bot collects the details, shows a summary and only goes ahead once the person confirms. The invoicing software does the actual issuing and any reporting to the tax authority.
