HubSpot integration

Closed-won deals in HubSpot move straight into invoicing, and payment status returns to the CRM without manual copying.

Overview

HubSpot

HubSpot is the CRM behind many service businesses: agencies, consultancies, training companies and B2B software vendors. It holds contacts, companies, deals and tickets, organised in pipelines with custom properties.

Tejobit connects HubSpot to whatever happens after the sale. When a deal reaches the won stage, the connection reads the associated contact and company, checks the tax number and sends the data to the invoicing software. In Portugal the certified invoicing program (Moloni, InvoiceXpress or another) issues the document and reports it to the tax authority; the integration only feeds it.

Data also travels the other way. Payments confirmed in Stripe update the deal, and contact changes in HubSpot reach the right Brevo lists and attributes.

Use cases

What it is for

  • A marketing agency that signs retainers in HubSpot and wants the first invoice issued the same day.
  • A training provider that opens one deal per enrolment and needs it flagged as paid once Stripe confirms the charge.
  • A B2B consultancy keeping VAT numbers and billing addresses on the company record, used as the single source for invoices.
  • Sales reps who want invoice numbers and payment status visible on the contact timeline.
  • Email campaigns in Brevo segmented by lifecycle stage and pipeline position in HubSpot.
IN

What the connection listens to

  • Deal stage changes (for example to Closed Won), received through HubSpot app webhooks.
  • New or updated contacts and companies, including custom properties such as tax number or payment terms.
  • Payment events from Stripe or the invoicing tool that close the loop in the CRM.
  • HubSpot form submissions that should reach another tool right away.
OUT

What the connection does

  • Creates the customer and the invoice in the billing software using the deal line items.
  • Writes the document number, invoiced amount and payment status back to the deal.
  • Adds a task or note in HubSpot when a required field, such as the tax number, is missing.
  • Keeps Brevo lists and attributes in step with HubSpot properties.
  • Associates new records with the right company and deal, matching on email to avoid duplicates.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A HubSpot account with rights to create a private app or approve an OAuth app.
  • A deal pipeline with a clear won stage and line items filled in.
  • Properties for billing data (tax number, address, country) on companies or contacts.
  • Access to the invoicing software and the document series to use.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • HubSpot enforces API rate limits per time window, and they depend on the subscription; large syncs run in batches.
  • Some objects and features, such as custom objects, are only available on paid HubSpot tiers.
  • The integration never issues tax documents itself; that stays with the certified invoicing program.

Frequently asked questions

Before you start

Does it work with free HubSpot?

Yes for contacts, companies and deals. Extras like custom objects or higher API limits depend on the plan, and that is checked before setup.

What if a won deal has no tax number?

No invoice is issued blindly. The connection creates a task for the deal owner and resumes once the property is filled in.

Can each pipeline use a different invoice series?

Yes. Pipelines or deal types can map to different series or document types in the billing tool.

Will contacts be duplicated in Brevo?

No. Email is the matching key, so existing Brevo contacts are updated rather than recreated.
