Telegram integration
A Telegram bot for creating and sending invoices from your phone, and for internal alerts about payments, orders and errors.
Overview
Telegram
Telegram has a practical edge for internal tools: the Bot API is free, needs no template approval and supports buttons, menus and file uploads. For small teams that spend the day out of the office, it is a direct way to handle admin without opening a laptop.
Tejobit builds a private bot connected to the company's invoicing software. The owner types something like "invoice Sunrise Bakery, 120 euros, maintenance visit", the bot finds the customer, shows a summary with buttons to confirm or fix it, and once confirmed creates the document in the invoicing tool. The PDF comes back in the chat and can be emailed to the customer.
The same bot doubles as an alert channel: a payment received, a new order, stock below the minimum or a failed sync all arrive as messages in the team group.
Use cases
What it is for
- A maintenance technician or installer invoicing on site right after the job.
- A restaurant owner getting the day's till summary on their phone.
- An online shop pinging the warehouse group whenever a paid order arrives.
- An accountant or manager asking the bot for a customer's unpaid invoices.
- An immediate alert when an integration fails, instead of finding out days later.
What the connection listens to
- Messages and commands from authorised users, received by webhook.
- Taps on confirmation buttons (callback queries) in the bot's messages.
- Events from other systems: payment received, new order, sync error.
What the connection does
- Parse the request, look up the customer and item in the invoicing software and show a summary to confirm.
- Create the document in the invoicing tool and return the PDF in the chat.
- Email the document to the customer from the invoicing software itself.
- Post alerts and summaries to a team group or channel.
How it works
From the request to a working connection
- 01
Request
The form names the integration, the tools involved and what should happen in each case.
- 02
Review and proposal
Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.
- 03
Setup and testing
The connection is set up with the business's own accounts and tested with real cases before it goes live.
- 04
Maintenance and monitoring
Tejobit hosts the connection, follows up on errors and adapts it when the API changes.
The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.
What to prepare
- A Telegram account for each person who will use the bot.
- API access to the invoicing software, with a document series set aside for the bot.
- The list of authorised people and what each may do (create documents, look things up, receive alerts only).
For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.
Limits
- A Telegram bot cannot start a conversation with someone who has never messaged it, so it suits internal use rather than reaching customers.
- The Bot API throttles sending, roughly one message per second per chat and less in groups: fine for alerts, not for mass sends.
- Files sent by the bot are capped at 50 MB, far more than an invoice needs.
- The bot does not guess: ambiguous requests get a follow-up question and nothing is issued without confirmation.
Frequently asked questions
Before you start
Why Telegram rather than WhatsApp?
For internal use Telegram is simpler: no per-message fee, no template approval, no business verification. For talking to customers, WhatsApp is usually the better pick because that is where they are.
Can anyone who finds the bot use it?
No. The bot only answers authorised Telegram accounts and ignores everyone else. Every request is logged with who sent it and when.
Which invoicing software works with it?
Any with an API for creating documents, such as Moloni, InvoiceXpress or Xero. The invoicing software issues the document; the bot only hands it confirmed data.
