Xero integration

Xero invoices, contacts and payments kept in step with your sales and charges, for UK, Irish and other international entities.

Overview

Xero

Xero is cloud accounting software widely used in the UK, Ireland, Australia and New Zealand. Companies with a subsidiary in those markets, or groups reporting in English, often end up with Xero on one side and their sales tools on the other.

Tejobit connects to the Xero API over OAuth 2.0 and works with the accounting objects directly: Contacts, Invoices, Payments, Items and the chart of accounts. Xero webhooks signal when contacts or invoices are created or updated; the payload carries only a reference, so the connection fetches the full record.

One caveat for Portuguese entities: Xero is not invoicing software certified by the Portuguese tax authority, so legal invoices for a Portuguese company must come from certified software, with Xero receiving the data for bookkeeping. For entities elsewhere, Xero can be the invoicing system itself.

Use cases

What it is for

  • A London subsidiary selling subscriptions through Stripe, with each invoice.paid event booked as an invoice and payment in Xero.
  • A Shopify store serving the UK, posting orders to Xero with the right sales account and tax rate.
  • A deal won in HubSpot creating the contact and a draft invoice in Xero for review.
  • Payments reconciled in Xero updating the customer's status in the CRM.
  • Stripe processing fees posted as an expense so the clearing account balances.
IN

What the connection listens to

  • Xero webhooks for created and updated contacts and invoices.
  • Stripe events such as invoice.paid or charge.refunded.
  • Paid order in Shopify.
  • Deal marked as won in the CRM.
OUT

What the connection does

  • Creates or updates the contact with name, email, address and VAT number.
  • Creates the invoice (draft, awaiting approval or approved) with items, revenue account and tax rate.
  • Applies the payment to the right bank account and records refunds as credit notes.
  • Reads invoices and payments to update the CRM or a dashboard.
  • Attaches the source PDF or receipt where useful.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • OAuth consent to the Xero organisation from a user with adviser or admin rights.
  • Chart of accounts, tax rates and bank accounts in place.
  • A decision on the status new invoices take: draft, awaiting approval or approved.
  • A list of entities and currencies, if more than one organisation is involved.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • The Xero API enforces per-organisation limits per minute and per day; large historical imports run in batches.
  • Since 2026 Xero prices API access in tiers by connections and data volume, which matters for integrations spanning many organisations.
  • Xero is not certified by the Portuguese tax authority and cannot replace a Portuguese company's invoicing software.

Frequently asked questions

Before you start

Can I use Xero to invoice customers in Portugal?

Not as the invoicing software of a Portuguese entity, since it is not certified there. It works for foreign entities' accounting or as the ledger for invoices issued elsewhere.

Do invoices arrive approved or as drafts?

Your call. Many teams start with drafts for a few weeks and switch to automatic approval once they trust the data.

Does it handle multiple currencies?

Yes, if the Xero organisation has multi-currency enabled. The connection sends the sale currency and Xero applies the exchange rate.

What if the authorisation expires?

Tokens are refreshed automatically. If a user revokes access, Tejobit is alerted and asks for a new consent.
