Urban equipment maintenance

Maintenance routes logged in the field and followed from the office

Ecomantém washes, maintains and repairs recycling bins, oil bins and containers for several Portuguese municipalities. Tejobit built the system that around 12 technicians use in the field and the admin team uses in the office.

Ecomantém system: dashboard with the equipment map on a laptop, a route and a work order on phones

Starting point

The company worked on a platform shared with other businesses, with little control over it. It was slow and worked badly on phones and on weak signal, exactly where the technicians spend their day. Sometimes it wouldn't let them log the work at all and, when it did, each record took around 10 seconds to save.

Managers found it hard to see what was done, what was missing and what state each piece of equipment was left in.

What was done

  • An app for technicians

An installable phone app with the route map, the equipment to visit, directions through Google Maps or Waze, and before and after photos for each job.

  • Built for weak signal

What the technician records is kept on the phone and sent when the connection returns, with a clear notice while offline.

  • A dashboard for managers

Equipment on a map, a route calendar, work orders, warranties, vehicles and yards, with PDF reports and Excel exports.

  • Email notifications

Notices when a route or work order is created or completed, daily reminders of upcoming routes and alerts for warranties about to expire.

  • Migration from the old system

Clients, equipment, routes and history imported from the previous platform, with no fresh start.

Outcome

  • Saving a record went from around 10 seconds, when the old system allowed it at all, to around 1 second.
  • Five years of history migrated: 2,028 routes and 2,659 pieces of equipment, from 2020 to 2025.
  • A system the company owns, instead of a third-party platform.
  • Around 12 technicians and 2 office staff working on the same information, updated from the field.
