Airtable integration
Airtable bases that receive records from other systems and trigger invoices, messages or tasks when a field changes.
Overview
Airtable
Airtable sits between a spreadsheet and an app: linked tables, typed fields, filtered views and forms. Training providers, agencies, event teams and producers often run their back-office on it.
Tejobit connects Airtable through its Web API and webhooks. The connection creates and updates records from payments, sign-ups or orders, and listens for new records or field changes so it can issue the invoice, send the email or update the CRM.
Because Airtable models relationships between tables, the connection works with that structure: a payment is linked to the right customer and an enrolment to the right course, without duplicate contacts.
Use cases
What it is for
- A training provider that records paid enrolments and links each student to a course in Airtable.
- An agency tracking projects in Airtable that invoices automatically when a stage moves to delivered.
- An events company matching ticket sales against the guest and accreditation list.
- A content team that takes requests through a form and pings the owner in Slack.
- A small distributor that keeps its catalogue in Airtable and syncs it with the online shop.
What the connection listens to
- Airtable webhooks for records created, updated or deleted in a table or on specific fields.
- External events (payment, sign-up, order) that produce new records.
- An Airtable automation with a script or web request step that calls the connection.
What the connection does
- Create and update records, including linked record fields.
- Look up an existing record by email, tax ID or reference before creating a new one.
- Attach files, such as an invoice PDF, to an attachment field.
- Read filtered views to build reports or send data to other systems.
How it works
From the request to a working connection
- 01
Request
The form names the integration, the tools involved and what should happen in each case.
- 02
Review and proposal
Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.
- 03
Setup and testing
The connection is set up with the business's own accounts and tested with real cases before it goes live.
- 04
Maintenance and monitoring
Tejobit hosts the connection, follows up on errors and adapts it when the API changes.
The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.
What to prepare
- A personal access token or OAuth grant scoped to the bases involved.
- A settled table structure, with one field that uniquely identifies each record.
- A list of fields the connection may change and fields that are read-only.
For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.
Limits
- The Airtable Web API allows about 5 requests per second per base, and each request creates or updates at most 10 records.
- Webhooks signal that something changed and the connection then fetches the details; idle webhooks expire and need refreshing, which the connection handles.
- Record limits per base and revision history depend on the Airtable plan.
- Formula, rollup and lookup fields are read-only through the API.
Frequently asked questions
Before you start
Does this replace Airtable automations?
It complements them. Native automations are fine for simple internal steps. The connection handles work that needs real logic, credentials for other systems or retries, such as issuing invoices or calling external APIs.
Does it work on the free plan?
The API and webhooks are available on the free plan, but its record and automation run limits may be too tight for daily use. Check your volume first.
What happens if a field is renamed?
Where possible the connection refers to fields by Airtable's internal ID, so renaming the visible label does not break it. Deleting the field does.
