Notion integration

Notion databases that receive clients, requests and projects from other systems, and that signal when a property changes.

Overview

Notion

Small teams often run in Notion what larger companies keep in dedicated software: the sales pipeline, client requests, project docs, onboarding. The content is good, but it is usually cut off from invoicing and from the systems where the work actually happens.

Tejobit connects Notion through its official API. The connection creates pages in databases from orders, sales or forms, fills properties such as status, amount or date, and receives Notion webhooks when a page is created or a property changes. Moving a project to done can produce the final invoice, and a new request from the website lands straight in the requests database.

Access is governed by Notion itself: the connection only sees pages and databases that have been explicitly shared with it.

Use cases

What it is for

  • An agency or freelancer that invoices when a project moves to done in the projects database.
  • A coworking space that adds each new member to an onboarding database with linked tasks.
  • A consultancy that creates a client page with notes and files for every deal won in the CRM.
  • A support team receiving website form requests in a database with priority set.
  • A weekly sales summary written automatically to a Notion page.
IN

What the connection listens to

  • Notion webhooks for pages created, properties updated and new comments.
  • External events, such as a deal won, a payment or a submitted form.
  • A scheduled query on a database with filters, for example tasks due today.
OUT

What the connection does

  • Create database pages with properties filled in and starter content.
  • Update status, amounts, dates and relations between databases.
  • Append text blocks, lists or links to a page's content.
  • Read filtered databases and pass the data to invoicing, a CRM or Slack.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Notion integration authorised in the workspace and shared with the right pages or databases.
  • Databases with defined properties and a clear status for each stage.
  • Who should be notified or mentioned when the connection creates something.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • The Notion API averages about 3 requests per second per integration, so large imports run gradually.
  • Not every block type is supported by the API, and formula and rollup properties are read-only.
  • Rich text has per-request size limits, so long content is split across several blocks.
  • Notion is not invoicing software; it organises the work while the tax document is issued in the proper tool.

Frequently asked questions

Before you start

Can the connection see my whole workspace?

No. A Notion integration only reaches pages and databases someone has shared with it. Everything else stays invisible.

Can Notion trigger invoices?

Yes. A status property can act as the trigger: when it changes to invoice, the connection sends the data to your invoicing software and writes the document number back to the page.

Can Notion be combined with an AI model?

It can. A common pairing is summarising meetings or requests with Claude or ChatGPT and saving the summary to a page, with a person reviewing it before it reaches a client.
