Data and spreadsheets
Google Sheets integration
Spreadsheets that fill themselves with sales, payments and bookings, or that act as the starting point for records in other systems.
Overview
Google Sheets
In plenty of small businesses, a Google Sheets file is the real management system: the customer list, the payments log, the stock count. Someone still has to type the data in, and that job always slips at month end.
Tejobit connects Google Sheets through the Google Sheets API. A Stripe payment, an issued invoice or a confirmed booking can append a row to a chosen sheet, with the columns in the order the business already uses. It also works the other way: a row flagged as ready can create an invoice, a CRM contact or a message.
The spreadsheet stays yours and shared with the same people as before. The connection only reads and writes the ranges agreed during setup and leaves formulas, charts and unrelated tabs alone.
Use cases
What it is for
- A daily payments log with one row per payment received through Stripe, PayPal or a local gateway.
- A register of issued invoices that the accountant can open without asking for exports.
- A shared bookings list for a holiday rental or tour operator, read by cleaning staff or guides.
- An order sheet for a bakery or caterer where each approved row produces the matching invoice.
- A weekly lead report from web forms and ads, grouped by source.
What the connection listens to
- Events in other systems (payment confirmed, document issued, booking created) that produce a new row.
- Changes to a status column, picked up by a Google Apps Script trigger or by reading the sheet on a schedule.
- A scheduled read of a range, for example every morning, to build summaries or alerts.
What the connection does
- Append rows to the end of a table, with values typed as dates, numbers or currency.
- Update cells in an existing row when its status changes (paid, shipped, cancelled).
- Read flagged rows and use them to create invoices, contacts or tasks in another system.
- Write the outcome back to the sheet, such as the invoice number or an error message.
How it works
From the request to a working connection
- 01
Request
The form names the integration, the tools involved and what should happen in each case.
- 02
Review and proposal
Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.
- 03
Setup and testing
The connection is set up with the business's own accounts and tested with real cases before it goes live.
- 04
Maintenance and monitoring
Tejobit hosts the connection, follows up on errors and adapts it when the API changes.
The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.
What to prepare
- The target spreadsheet with a stable header row that does not get renamed without notice.
- The sheet shared with the connection's service account, with edit access to that file only.
- Clear rules on which columns the connection may write and which belong to people.
For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.
Limits
- Google Sheets does not push per-cell change notifications; reacting to edits relies on Apps Script or scheduled reads, with some delay.
- The Sheets API enforces per-minute request quotas per project and per user, so high volumes need batched writes.
- If someone renames a column or deletes a tab, the connection loses its target until it is adjusted.
- A spreadsheet is not a database: past tens of thousands of rows it gets slow, and archiving by year helps.
Frequently asked questions
Before you start
Can the connection write to a sheet that already has formulas?
Yes. It only writes to the agreed data columns, so formulas in other columns keep calculating. Formula columns should simply sit outside the write range.
Do changes show up in real time?
When the source is another system, the row appears seconds after the event. Reacting to edits made inside the sheet itself takes a few minutes, depending on the method used.
Do I need a paid Google Workspace plan?
No. It works with free Google accounts and with Workspace. On Workspace, an administrator may need to allow sharing with external accounts.
Can a sheet be used to issue invoices?
Yes, through a status column. When a row is set to issue, the connection sends the data to your invoicing software, which issues the document, and the invoice number is written back to the row.
