Bookings

Calendly integration

Consultants and sales teams on Calendly: every booking reaches the CRM with form answers and payment status.

Overview

Calendly

Calendly is the go-to online scheduling tool for consultants, therapists, trainers and sales teams. Each event type has its own duration, pre-booking questions and optional payment through Stripe or PayPal.

Tejobit connects Calendly to what happens after the booking. Calendly webhook subscriptions send invitee.created and invitee.canceled events, and the connection uses them to create or update the HubSpot contact with the form answers, log the meeting as an activity and follow the Stripe payment. Cancellations and reschedules show up in the CRM with no manual step.

Use cases

What it is for

  • A management consultant selling paid discovery calls who wants contact and payment recorded in HubSpot.
  • A B2B sales team whose Calendly demos open deals in the right pipeline.
  • A therapist who keeps pre-session answers on the client record to prepare each appointment.
  • A trainer measuring how many bookings came from each campaign through UTM parameters on the link.
  • A company that reassigns deals when a meeting is cancelled and rebooked with someone else.
IN

What the connection listens to

  • invitee.created when someone books.
  • invitee.canceled when the meeting is cancelled or rescheduled.
  • Booking payments confirmed in Stripe.
OUT

What the connection does

  • Creates or updates the HubSpot contact with name, email, answers and UTM source.
  • Creates a deal or a meeting activity on the contact.
  • Updates deal status when the meeting is cancelled.
  • Links the Stripe payment to the contact and the meeting.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A paid Calendly plan, since webhook subscriptions are not on the free plan.
  • A personal access token or OAuth approval, from an admin for organisation-wide subscriptions.
  • Event types with defined questions mapped to CRM properties.
  • HubSpot access and, for paid bookings, Stripe.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • Webhooks are only available on paid Calendly plans.
  • Subscriptions are created through the API, not the dashboard; Tejobit manages them and recreates them if disabled.
  • A reschedule arrives as a cancellation plus a new booking, which the connection merges into one CRM meeting.

Frequently asked questions

Before you start

Is a paid Calendly plan required?

Yes. Webhooks come with paid plans, and without them the connection would have to poll the API with a delay.

Does it work with CRMs other than HubSpot?

Yes. HubSpot is the most common case, but the same flow works with Pipedrive, Salesforce or Close.

Do reschedules create duplicate contacts?

No. The contact is matched by email and the meeting is updated, not duplicated.
