Bookings

Google Calendar integration

Clinics, salons and practices that run on Google Calendar: synced bookings, WhatsApp reminders and occupancy reports.

Overview

Google Calendar

Google Calendar is the diary for many clinics, hair salons, tattoo studios and private practices that would rather not pay for separate booking software. Each professional has a calendar and reception sees them all together.

Tejobit turns those calendars into a data source. The connection uses Google Calendar API notification channels to learn when an event is created, changed or deleted, and incremental sync with sync tokens to read only what changed. From there it sends WhatsApp reminders the day before, logs each person's occupancy in Google Sheets and accepts bookings coming from Calendly or a website form.

Use cases

What it is for

  • A physiotherapy clinic sending a WhatsApp reminder the evening before each appointment, with time and address.
  • A hair salon tracking weekly occupancy per stylist in a spreadsheet.
  • A practice taking website bookings that must land on the right doctor's calendar without overlaps.
  • A tattoo studio blocking the diary once the session deposit is paid.
  • A home services company spreading visits across technicians' calendars.
IN

What the connection listens to

  • Google Calendar API push notifications (watch channels) when a calendar changes.
  • Incremental sync with a sync token to fetch only changed events.
  • Bookings coming from Calendly or website forms.
  • Scheduled runs, for example to send next-day reminders.
OUT

What the connection does

  • Creates, moves and cancels events on the right calendar after checking availability.
  • Sends WhatsApp reminders and confirmations from event data.
  • Writes occupancy per person and per day to Google Sheets.
  • Renews notification channels automatically before they expire.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Google account or Google Workspace with the calendars to connect.
  • OAuth approval or, on Google Workspace, a service account with domain-wide delegation.
  • A convention for event titles or descriptions (client name and mobile number, for instance).
  • A WhatsApp Business number and message templates, if reminders are used.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • Notification channels expire and must be renewed; the connection handles it, but revoking access stops the sync.
  • Notifications only say something changed; details are then read through the API, which has per-project and per-user quotas.
  • Events typed in without the agreed convention (no phone number, say) get no reminder.

Frequently asked questions

Before you start

Is Google Workspace required, or will Gmail do?

A Gmail account with OAuth approval works. Google Workspace allows a service account, which makes managing many calendars easier.

Do events entered by hand get reminders too?

Yes, as long as the event holds the client's contact in the agreed format. The connection reads every event on the calendar, whatever its source.

What if two requests arrive for the same slot?

Availability is checked before the event is created, and the second request is declined or offered another time instead of double-booking.
