CRM

Pipedrive integration

Pipedrive deals move into invoicing, Google Sheets reports and Slack alerts the moment they change stage.

Overview

Pipedrive

Pipedrive is a sales CRM built around a visual pipeline, where each deal moves through stages and each stage carries activities. Real estate agencies, installers, distributors and project-based agencies use it a lot.

Tejobit connects Pipedrive to the rest of the business. Pipedrive webhooks report when a deal is created, moves stage or is marked won, and the connection uses those events to prepare an invoice in InvoiceXpress, log the sale in a spreadsheet or notify a Slack channel. For Portuguese companies, issuing the invoice and reporting it to the tax authority remains the job of the certified invoicing software.

Use cases

What it is for

  • A solar installer that bills the deposit in InvoiceXpress as soon as a deal reaches the Signed stage.
  • A distributor that needs a Google Sheets tab listing each month's won deals by rep for commission payouts.
  • An agency that alerts its production channel in Slack whenever a project closes, with value and contact.
  • A sales team that captures leads from outside forms and wants person, organisation and deal created in the right stage.
  • A manager who wants the invoice number and payment date on the deal without opening another app.
IN

What the connection listens to

  • Pipedrive webhooks for created and updated deals, persons and organisations.
  • A deal status change to won or lost.
  • Completed activities that mark the next step in the process.
  • Incoming requests from forms or other tools that should become Pipedrive records.
OUT

What the connection does

  • Creates the client and the document in InvoiceXpress from the deal products.
  • Appends or updates rows in Google Sheets for reporting and commissions.
  • Posts a deal summary to Slack.
  • Updates custom deal fields with the invoice number and payment status.
  • Creates persons, organisations and deals from outside leads, without duplicates.

How it works

From the request to a working connection

  1. 01

    Request

The form names the integration, the tools involved and what should happen in each case.

  2. 02

    Review and proposal

Tejobit confirms what the API allows and sends a proposal with the flow, the price and the timeline.

  3. 03

    Setup and testing

The connection is set up with the business's own accounts and tested with real cases before it goes live.

  4. 04

    Maintenance and monitoring

Tejobit hosts the connection, follows up on errors and adapts it when the API changes.

The connection runs on Tejobit's infrastructure. The monthly fee covers hosting, monitoring and API changes.

What to prepare

  • A Pipedrive account with an API token or OAuth app approval.
  • Well-defined pipeline stages, including one that means the deal is closed.
  • Custom fields for billing data such as tax number and billing address.
  • Access to InvoiceXpress, the Google Sheets file and Slack, depending on the flow.

For security, do not send passwords, API keys or tokens through the form. Credentials are requested through a secure channel when the setup starts.

Limits

  • Pipedrive gives each account a daily API budget based on plan and seats, shared by every integration on the account.
  • Webhooks that keep failing are paused and eventually deleted by Pipedrive, so the connection monitors delivery health.
  • Products on deals depend on the Pipedrive plan; without them the invoice uses the deal total.

Frequently asked questions

Before you start

Is the invoice issued straight away or saved as a draft?

Either. Many teams start with drafts in InvoiceXpress to review, then switch to direct issuing once they trust the flow.

Can commissions be worked out from Pipedrive?

Yes. Each won deal is written to Google Sheets with rep, value and date, and spreadsheet formulas take it from there.

What if a rep reopens a deal that was already invoiced?

The connection sees the existing document and does not create another one. It flags the case in Slack or on the deal for a person to decide.
